IIENSTITU Student Safety & Security Policy (SSSP)

1) Purpose

This policy establishes IIENSTITU’s commitment and minimum requirements for protecting student safety and security across all programs and environments (online and, where applicable, physical facilities).

2) Scope

Applies to all students, instructors, staff, contractors, and third-party partners who access IIENSTITU systems, facilities, or events (on-site and virtual).

3) Policy Commitments

  • Safety First: Student safety and security are top priorities in all decisions and operations.

  • Proactive Risk Management: Anticipate, assess, and mitigate risks before they impact learners.

  • Least Necessary Access: Access to systems, data, and spaces is controlled and granted by role.

  • Privacy & Dignity: Personal data and student well-being are protected with respect and discretion.

  • Inclusivity & Accessibility: Safe participation for all, regardless of background or ability.

  • Transparency & Accountability: Rules, responsibilities, and processes are documented and communicated.

4) Governance & Responsibilities

  • Security Office: Leads safety strategy, incident coordination, and continuous improvement; maintains this policy.

  • IT / Information Security: Implements and operates access control, monitoring, and cyber safeguards.

  • Facilities (where applicable): Maintains secure, well-kept spaces and physical controls.

  • Academic & Student Success Teams: Enforce conduct standards in courses and communities; escalate concerns.

  • All Community Members: Comply with this policy; promptly report hazards, threats, or violations.

5) Controls & Safeguards

5.1 Physical Safety (where applicable)

  • 24/7 Surveillance & Monitoring: Risk-based video/guard coverage and event logging.

  • Access Control & Identification: Badging/ID verification, visitor registration, and restricted-area protocols.

  • Emergency Response: Clear procedures for medical, fire, and security events; drill and readiness activities.

  • Facility Upkeep: Routine inspections and corrective maintenance to remove hazards.

5.2 Online Safety & Cybersecurity

  • Identity & Access Management: Strong passwords, MFA where appropriate, least-privilege access, periodic reviews.

  • Platform Protections: Secure configuration, patching, vulnerability scanning, and monitored audit logs.

  • Behavior & Content Standards: Zero tolerance for harassment, hate, threats, or exploitation; swift moderation.

  • Data Protection: Appropriate safeguards for data in transit/at rest, role-based data access, and minimal collection.

6) Education & Awareness

IIENSTITU provides orientation and periodic training covering:

  • Personal Safety (situational awareness, bystander guidance),

  • Online Safety (phishing, social engineering, privacy), and

  • Travel Safety (for study events abroad, where applicable).

7) Incident Reporting & Response

  • How to Report: Contact the IIENSTITU Security Office or official help channels immediately for any safety concern, threat, or policy violation.

  • Triage & Timelines (targets):

    • Critical risk: acknowledge within 2 hours, contain within 24 hours.

    • High risk: acknowledge within 1 business day, action plan initiated promptly.

  • Post-Incident: Document, notify affected parties as appropriate, conduct root-cause analysis, and implement corrective/preventive actions.

  • Adhere to applicable privacy and safety obligations.

  • Include safety, security, and confidentiality clauses in relevant third-party agreements and monitor compliance.

9) Monitoring & Continuous Improvement

  • Track key indicators (incident counts, response times, training completion, audit findings).

  • Review controls regularly; update this policy and procedures based on lessons learned and evolving risks.

10) Enforcement

Violations may result in access restrictions, disciplinary action, and/or contractual or legal remedies.

12) Effective Date & Review

Review Cycle: At least annually, or sooner if material changes occur.
